This Privacy Policy explains how personal data is handled when you use plotterfolk, including the forum at forum.plotterfolk.com.

plotterfolk is currently operated as an individual project rather than through a separate company.
2. Personal data we may process
Depending on how you use the forum, we may process:
- account data, such as username, display name, email address, authentication information, preferences, and trust or moderation status;
- content you choose to publish or send through the forum, including posts, replies, uploads, reactions, flags, and other community activity;
- technical and security data, such as IP addresses, browser or device information, request logs, timestamps, session data, and information used to detect abuse or protect accounts;
- notification and email-delivery information needed to send requested forum messages and transactional email;
- information received from an external sign-in provider if you choose to authenticate through one;
- information processed when you use AI-assisted features such as plotterBot.
Public posts and public profile information may be visible to anyone and may be indexed by search engines.
3. Why we process personal data
We process personal data for purposes including:
- creating and managing forum accounts;
- providing, operating, searching, and maintaining the community;
- authenticating users and protecting account security;
- sending service, moderation, and notification messages;
- preventing spam, abuse, fraud, and technical attacks;
- enforcing the Terms of Service and Community Guidelines;
- handling support, moderation, and legal requests;
- providing optional or configured AI-assisted functions, translation, tagging, search, and similar community features;
- maintaining backups, logs, and operational records needed to keep the service reliable.
Depending on the activity, the legal basis may include performance of the service requested by you, compliance with legal obligations, consent where required, and the operator’s legitimate interests in running a secure and useful community.
4. AI-assisted features
plotterfolk uses AI-assisted features, including plotterBot (@plotterbot).
The current plotterBot language-model provider is OpenAI through the Discourse AI integration.
When plotterBot is invoked, relevant content from the discussion may be sent to the AI service so that a response can be generated. The forum may also use AI for configured functions such as translation, classification, tagging, summarisation, or assistance.
plotterBot is not configured to use private messages or Staff-only content as general community knowledge. Users should nevertheless avoid posting passwords, API keys, access tokens, or other secrets in forum content.
The automatic unanswered-topic workflow is designed to operate only on eligible forum topics and to make at most one automatic attempt for a qualifying unanswered topic.
5. Service providers and recipients
We use service providers where necessary to operate plotterfolk. These may include:
- hosting and infrastructure providers, including OVHcloud;
- transactional email providers, including Brevo;
- AI service providers, including OpenAI, when AI-assisted features are used;
- authentication providers, such as supported external sign-in services, if you choose to use them;
- technical service providers needed for security, backups, delivery, maintenance, or administration.
Personal data may also be disclosed where required by law, a valid legal process, or a competent authority.
Service providers are expected to process data only as necessary to provide their services and subject to the applicable contractual and legal protections.
6. International data transfers
Some service providers may process data outside Spain or the European Economic Area.
Where an international transfer is subject to data-protection rules, the applicable transfer mechanism and safeguards required by law are used as appropriate to the provider and destination.
7. Data retention
Personal data is kept only for as long as reasonably necessary for the purposes described in this Policy, including operation of the account and community, security, moderation, backup rotation, dispute handling, and legal obligations.
Public contributions may remain associated with an account, be anonymized, or be retained where permitted or required by the forum’s account and moderation rules.
Technical logs, backups, and anti-abuse records may be retained for different operational periods and then deleted, rotated, or aggregated when no longer required.
8. Cookies and local storage
plotterfolk uses cookies and similar browser storage where necessary for functions such as authentication, session management, security, preferences, and normal operation of the forum.
If optional analytics, advertising, or other non-essential tracking technologies are introduced in the future, consent or other controls will be provided where required by law.
9. Your data-protection rights
Subject to applicable law, you may have rights including:
- access to your personal data;
- rectification of inaccurate data;
- erasure of data;
- restriction of processing;
- objection to certain processing;
- data portability where applicable;
- withdrawal of consent where processing is based on consent.

We use technical and organisational measures intended to protect the forum and personal data against unauthorised access, loss, alteration, or misuse.
